Purpose of the Job

  • Provide assistance to management with respect to day-to-day administration.

 

Main Responsibilities

  • Assist the General Manager, Vehicle Maintenance Manager, Infrasture Maintenance Manager, and Facilities Depot Equipment Manager in the day-to-day administration. 
  • Responsible for typing and filing of reports and general correspondence, reports or other documents from rough draft. 
  • Setting up meetings with customer and stakeholders. Taking minutes and creating agenda for stakeholder meetings.
  • Screen phone calls and visitors, directing to appropriate staff or department when necessary.
  • Make travel arrangements for all departmental staff. Prepare and submit expense reports for travel. 
  • Coordinate the office supplies inventory and order. 
  • General administration and coordination of related needs. Responsible to administer the postage meter and dropping off all mail articles.
  • Special projects as assigned and required. 
  • Administration of collective agreement as required. 

 

Educational Requirements

  • High School Diploma / College Diploma

 

Experience

  • 3 years experience
  • Ability to communicate at all levels and work effectively as part of a team.
  • Ability to communicate (written and verbal) with suppliers effectively and negotiate when necessary.
  • Ability to process a high volume of data under time pressure.
  • Good excel skills and experience of various ERP systems preferable.
  • Well-developed problem solving skills
  • Knowledge of purchase orders and the 3 way match principle. 
  • Ability to plan and prioritise work in order to meet challenging objectives.
  • Possess expediting and influencing skills, must be assertive and proactive.
  • Must be numerate and literate.
