Could you be the Bid Planning Manager we’re looking for?

 

We’re seeking an experienced Bid Planning Manager to join our team, based in the North Sydney office. This is a pivotal role, and we’re seeking someone who thrives in collaborative environments and brings a wealth of experience to bid planning and team leadership. In this position, you will work closely with the bid manager, serving as their trusted deputy and right hand. You’ll play an essential part in the team, ensuring alignment across the core members and stepping up to lead whenever the situation calls for it. Your expertise in time management will be key, as you’ll provide vital information to support decision-making and help us meet our expected bid deliverables. You’ll also serve as the central connector between project interfaces, guiding execution through strong scheduling and proactive coordination. As a visible and respected leader among the project team, you’ll foster collaboration, maintain momentum, and drive delivery excellence. Efficient communication is at the heart of this role, you’ll adapt your style to suit any audience, whether verbal or written.

 

Your responsibilities will include developing and maintaining both internal and customer bid schedules, facilitating synchronization among internal stakeholders, and preparing as well as communicating the bid schedule to support the efficient preparation of proposals for our customers. Additionally, you’ll play a crucial role in supporting the bid transfer to execution right up to the Tender Transfer Meeting (TTM).

 

 

 

We’ll Look to You For:

 

  • Apply and promote company time management processes and best‑practice scheduling culture within the bid team.
  • Analyse bid and contract documentation to define scheduling requirements, structure, constraints and assumptions.
  • Develop, manage and maintain the bid preparation schedule, ensuring alignment with submission deadlines and delivery of all schedule-related outputs.
  • Coordinate with internal and external stakeholders to integrate inputs, define interfaces, and support bid schedule verification and reviews.
  • Lead bid schedule development activities, including critical path analysis, risk assessment, optimisation and gap analysis against RFP requirements.
  • Prepare and present bid scheduling narratives and outputs for internal governance, customer submissions and bid gate reviews.

 

All About You:

 

  • Detailed knowledge of scheduling theory and critical path methodology
  • Proficiency in one or two scheduling tools (OdyC, Primavera, MS-Project, TILOS, etc.)
  • Advanced skills in MS Excel or other data analysis tools
  • Knowledge of time-related contractual obligations and principles of delay analysis.
  • Basic comprehension of railway industry products and technologies.
  • Curiosity, the drive to learn, and the readiness to share knowledge with others.
  • Good written and verbal communication skills; an effective team player.
  • Ability to challenge and guide teams and be proactive in proposing solutions.
  • Adaptability in a multi-cultural and rapidly changing environment.
