Bid Planning Manager
PURPOSE OF THE JOB
- Working in close collaboration with the bid manager, owner of time management topic in the bid team, providing proper time management information to support decision making to reach expected bid deliverables.
- Acts as the right hand of the Bid Manager

- Acts as the Bid Manager’s trusted deputy, ensuring alignment across the core team and stepping in to lead when needed.
- Serves as the central connector of project interfaces, steering execution through robust scheduling and proactive coordination.
- Is a visible and respected leader within the project team, fostering collaboration, maintaining momentum, and driving delivery excellence.
- Communicates efficiently at any level, adapting the communication to the audience both verbally and written.
- Responsible to develop and maintain the bid schedule (internal and customer schedule)
- Facilitate the synchronization of internal stakeholders.
- Prepare and effectively communicate the bid schedule to support the efficient preparation of the proposal to customer.
- Support bid transfer to execution until Tender Transfer Meeting (TTM).
PURPOSE MAIN RESPONSABILITIES
For all:
- Apply the company's time management processes
- Promote the time management practices and culture in the bid team
- Capture and analyze the return of experience (REX) from bid- & project planning
In bid:
- Analyze bid documentation to understand schedule management requirements, including schedule structure, reporting constraints, and contractual requirements.
- Set a timeline for bid preparation and ensure its adherence until the bid submission.
- Coordinate with internal and external stakeholders to integrate inputs and define project schedule interfaces.
- Contribute to formulating the project execution strategy and formalize the schedule key assumptions.
- Organize and lead the bid schedule development based on contract requirements, subsystem commitments, gap analysis, and the bid execution strategy.
- Facilitate ALSTOM tooling available for bids
- Organize and lead regular scheduling meetings.
- Identify the project schedule's critical path and risks, proposing optimization and mitigation actions.
- Highlight differences between the RFP expectation, the feasible project schedule and the to-be offered schedule.
- Draft the bid schedule narrative (internal and customer version).
- Ensure on-time delivery of bid schedule-related deliverables.
- Present scheduling information during bid gate reviews.
- Involve the Region planning, PL planning, Scheduling Experts and Group Planning to enable the bid schedule verification (4-eye planning review) when applicable.
Performance measurements:
- On-time delivery of bid deliverables,
- On time delivery of schedule analysis for decisions by the Bid Team: critical paths for main milestones, planning risks and mitigation actions
- Develop the schedules in line with defined quality metrics (DCMA…)
Competencies & Skills:
- Detailed knowledge of scheduling theory and critical path methodology
- Proficiency in one or two scheduling tools (Primavera, MS-Project, etc.)
- Advanced skills in MS Excel or other data analysis tools
- Knowledge of time-related contractual obligations and principles of delay analysis.
- Basic comprehension of railway industry products and technologies.
- Curiosity, the drive to learn, and the readiness to share knowledge with others.
- Good written and verbal communication skills; an effective team player.
- Ability to challenge and guide teams and be proactive in proposing solutions.
- Adaptability in a multi-cultural and rapidly changing environment.
Salary Range 37.000 € - 45.000 €
