PURPOSE OF THE JOB
The External Communications Officer is responsible for enhancing Alstom’s communication strategy and operational efficiency through the creation, publication, and management of high-quality content. This role focuses on strengthening collaboration between media relations, content, and web & social media teams, ensuring a cohesive messaging approach. The officer meticulously proofreads materials to uphold our standards of excellence and supports the team in effective asset management and resource optimization for maximum impact. Additionally, the position involves conducting thorough research to provide accurate and relevant information, empowering strategic initiatives and informed decision-making within the organization.
MAIN RESPONSIBILITIES
Content creation and publication
- Prepares, reviews, and publishes press releases, articles, and other content on the Alstom website and distribution tools.
- Collaborates with relevant stakeholders to gather information and insights for content creation.
- Edits and optimises existing content for clarity and engagement.
- Monitors published materials to ensure they are up-to-date and relevant.
Proofreading and quality control
- Helps reviews external communications materials for clarity, grammar, and consistency before publication.
- Ensures adherence to branding guidelines and the messaging framework (editorial guidelines).
- Conducts final checks to confirm that all necessary updates have been incorporated.
- Collaborates with team members to address any ambiguities or inconsistencies in messaging.
Database, tools and document management
- Updates and maintains contact lists for media, partners, and stakeholders.
- Organises, structures, and stores communication materials and templates for easy access.
- Regularly audits database entries to ensure accuracy and enhance consistency.
- Oversees the organization and storage of all communication-related documents to ensure easy access and retrieval.
- Identifies opportunities for improving digital workflows and output using existing tools and technology.
- Collaborates with team members to streamline processes and enhance efficiency in document handling.
- Provide support in creating presentations and other critical external documents, ensuring consistency and high quality.
- Maintain and follow up press subscription management
- Document and improve existing processes
Content calendar management
- Helps maintain and update the editorial calendar for communications activities.
- Ensures deadlines for content submissions and approvals are met.
- Coordinates with various departments to align timelines for content release.
- Monitors upcoming events and initiatives to proactively update the calendar.
Supporting digital asset management
- Maintains and updates the external media library with current assets, including images, videos, and documents.
- Conducts regular reviews of the media library to remove outdated or irrelevant content.
- Ensures that accessibility standards are met in all digital communications, making content inclusive for all audiences.
- Ensures seamless connections between asset management system and contents on the website

Research support
- Helps prepare Q&As and background information for various stakeholders to support upcoming communications.
- Conducts research on industry trends, competitor activities, to inform content strategies.
- Gathers and synthesizes information from multiple sources to create comprehensive briefing documents.
- Assists in identifying relevant case studies or success stories to enhance external communications.
PROFILE
EDUCATIONAL AND EXPERIENCE
- Bachelor’s degree in Communications, Marketing, Public Relations, or a related field.
- 2+ years of experience in communications, content creation, or related roles.
- Familiarity with digital asset management and content management systems.
- Knowledge of social media platforms and their role in communications is a plus.
- Experience in research and analysis, with the ability to synthesize information effectively.
COMPETENCIES
- Writing, editing, and proofreading skill (English and French)
- Strong attention to detail and a focus on quality.
- Excellent organisational and time management abilities.
- Effective communication skills, both verbal and written.
- Proficient in digital content management systems and Microsoft Office Suite.
- Basic SEO knowledge to improve our visibility of our content on our external digital channels
- Ability to work collaboratively in a team environment and build relationships across departments.
- Adaptability to changing priorities and a proactive approach to problem-solving.
- Understanding of branding guidelines and accessibility standards in digital communications.
