Les équipes RAMS et Développement À Coût recherchent un assistant pour soutenir l'équipe et exécuter des tâches administratives avec des compétences dynamiques, compétentes et amicales. Un rôle varié et responsable nécessitant de fortes compétences administratives, informatiques, organisationnelles et de communication, ainsi qu'une attitude proactive et positive.
Vos principales responsabilités seront :
- Effectuer les tâches de réception des appels, prendre des messages et acheminer la correspondance.
- Gérer les requêtes et les demandes de manière appropriée.
- Maintenir une agenda professionnelle et personnelle, organiser des réunions et des rendez-vous et fournir des rappels.
- Produire des rapports, des présentations et des briefs.
- Développer et réaliser un système de documentation et de classement efficace.
- Gestion des voyages : création et gestion de bout en bout de tous les voyages en rapport avec l'agence de voyages et gestion des processus de visa et des demandes de remboursement.
- Gestion des factures : création de fournisseurs, création de commandes d'achat et suivi avec les fournisseurs ainsi que le département comptable pour la gestion des dépenses.
- Maintenir le système informatique en mettant à jour et en saisissant des données / Création et distribution de documents.
- Servir de point de contact avec les fournisseurs/administrateurs de prestations.
- Prendre en charge toutes les demandes d'achat et commandes d'achat, y compris la gestion des questions des fournisseurs externes.
Profil :
- Plus de 5 ans d'expérience en tant qu’assistant administratif exécutif, assistant exécutif senior ou dans un autre poste de secrétariat.
- Maîtrise de MS Office avec expertise dans Word, PowerPoint et Excel.
- Compréhension complète des systèmes et procédures de gestion de bureau.
- Excellentes compétences en résolution de problèmes, pensée critique et communication.
- Réponses proactives et efficaces face aux problèmes et défis urgents.
- Excellentes capacités d'organisation et de planification.
- Discrétion et confidentialité.
- Solides compétences interpersonnelles.

The RAMS and Development To Cost teams are looking for an assitant to suport the team and executes administrative tasks with competent, dynamic and friendly skills. A wide-ranging and responsible role requiring strong administrative‚ IT‚ organisational and communication skills and a proactive 'can-do’ attitude.
Your main responsabilities will be :
- Undertake the tasks of receiving calls, take messages and routing correspondence
- Handle requests and queries appropriately
- Maintain professional and personal agenda, arrange meetings and appointments and provide reminders
- Produce reports, presentations and briefs
- Develop and carry out an efficient documentation and filing system
- Travel management ; Creation and end to-end management of all travels in relation with the travel agency and management of VISA processes and expense claims
- Invoice management; Suppliers creation, purchase Orders creation and follow-up with suppliers and accounting department with managing expenses
- Maintaining computer system by updating and entering data/Creating and distributing documents
- Serving as a point of contact with benefit vendors/administrators
- Take charge of all Purchase Request, Purchase Orders including managing external vendor queries
Profile :
- 5+ years’ related to an executive administrative assistant, senior executive assistant or in other secretarial position
- Proficiency in MS Office with expertise in Word, PowerPoint and Excel
- Full comprehension of office management systems and procedures
- Excellent problem solving, critical thinking and communication skills
- Proactive and efficient responses to pressing issues and challenges
- Excellent organization & planning capabilities
- Discretion and Confidentiality
- Strong interpersonal skills
