Job Responsibilities:
You will work closely with the Vice President of People, Culture & Organization and their team on strategic Human Resources projects for the Group. This requires great flexibility and a high capacity for anticipation as their schedule is constantly evolving. Additionally, you need to be able to keep up with them as they are full of ideas. You are keen on building good relationships within your team, as well as with all internal and external partners, as you will be required to contact internal or external candidates, recruitment agencies, and other HR partners. You will welcome visitors and make them feel comfortable with a brief conversation in English and French. A good sense of humor and knowledge of HR topics are also "must-haves."
As the gatekeeper of their very busy schedule, you will be able to reorganize the sequence of appointments without getting tired because priorities demand it. You will also be there to smooth relationships and act as a liaison with their team. Therefore, you will also need to ensure they have moments of silence or breaks during very busy days.
You will organize their travels worldwide, booking train or plane tickets, hotel reservations, and transfers, managing visas by anticipating everything they might need on-site. You will prepare their files according to their requests. You may also be required to consolidate and format their PowerPoint presentations.
You will ensure the proper maintenance of the office, including ordering supplies, liaising with general services for new arrivals or departures.
You will be responsible for issuing purchase requests for the team and following the various validation steps, thus being in contact with suppliers/service providers and having an overview of the budget.
You will also know how to maintain good relationships with other assistants from different departments of the group.
Desired Profile:
Graduated with a higher education degree (Bac +3) with confirmed experience in high-level assistance in the industrial sector where agility, adaptability, and responsibility are keys to success, you master the codes of the industry and, if possible, have ideally worked in the railway sector, thus understanding the expectations. You enjoy meeting the demands and seeking the detail that makes the difference. You wish to build a trusting relationship with the leader and their team, allowing you to evolve in this position with complete serenity.
You are bilingual in English, with proficiency in another language being a plus. You master the Office Pack (PowerPoint, Excel, Word...), and knowledge of Artificial Intelligence would also be appreciated! Finally, your thirst for learning allows you to quickly familiarize yourself with new tools.
