We are looking for an Assistant for our Group Project Management Office and Group Planning teams ! Reporting to the VP Group PMO, Hubert PEUGEOT and VP Group Planning Elena REGAL-ZEIGER, you will provide an executive support to their teams working in these organizations and will deliver administrative tasks with competent, dynamic and friendly behavior. A wide-ranging and responsible role requiring strong administrative‚ IT‚ organizational and communication skills and a proactive 'can-do’ attitude.
Because you are highly organized and dynamic, you will also support Sohraya N’Diaye (Cash Performance Program Director)!
Your main responsibilities will be :
- Time management: Maintain the VPs & Directors professional agenda, arrange meetings and appointments and provide reminders, as well as interfacing with assistants of other VPs and Top management to organize common meetings and events,
- Travel management: Creation and end to-end management of travels in relation with the travel booking tool/agency and management of VISA processes in CONCUR,
- Support to travel expenses claims for VPs & Directors in CONCUR,
- Take charge of Suppliers creation, Purchase Request, Purchase Orders and Good receipt from the teams including managing external vendor queries in ARIBA,
- Invoice management in INSPIRE: Purchase Orders creation and follow-up with suppliers and accounting department with managing expenses,
- Administrative support to the integration of new comers (IDs, devices, locations, induction),
- Handle requests and queries raised from the team members,
- Produce reports, presentations and briefs,
- Organize friendly events to keep positive mindset in the team.
Profile :
- 5+ years related to an executive administrative assistant, senior executive assistant or in other secretarial position
- Proficiency in MS Office with expertise in Word, PowerPoint and Excel
- Fluent in English
- Discretion and Confidentiality
- Full comprehension of office management systems and procedures
- Excellent problem solving, critical thinking and communication skills
- Proactive and efficient responses to pressing issues and challenges
- Excellent organization & planning capabilities
- Strong interpersonal skills
