Your future role
You'll play a key role in supporting our executive HR & D&IS team in the Europe Region and ensuring smooth operations within the office. Day-to-day, you’ll work closely with teams across the business (such as communications and internal departments), manage administrative tasks, and contribute to the planning and execution of events and meetings, and much more.
Your responsabilities:
- Managing the 2 Europe VP's agenda
- Coordinating travels, accommodations, and expense reports for them
- Take charge of all Purchase Request, Purchase Orders including managing external vendor queries
- Organising and managing internal events, meetings, and logistics
- Occasional support for the central D&IS team and/or new arrivals (supplies, assistance with Concur, meeting rooms).
- Coordination with local assistants in the countries, as well as with the Leadership Team assistants and the Managing Directors (MDs).
- Organisation of team meetings and communications.
- Maintaining effective data management and filing systems
- Handling confidential information with discretion and professionalism
- Support on transversal HR missions (working with the central HR team)
- Monthly reporting (mandatory trainings, railway safety, training KPIs, DEI)
- Occasional reporting (continuous dialogue, specific trainings, MyVoice)
- Organisation of EU HR Induction calls (invitations, coordination of speakers’ slides)
- Support for People Review Europe presentations (once a year)
- Purchase requests (around ten per year)
Educational & Experience requirements:
- Bachelor level preferred
- 5+ years’ related administrative experience
- Fluent in English
- Proficiency in MS Office with expertise in Word, PowerPoint and Excel
- Excellent in verbal/written business correspondence in both French & English
