PURPOSE OF THE JOB

Support the Procurement Business Process Owner to:

  • Deploy and sustain the strategy, the standards, and the goals for Procurement’s tools and/or processes that saves time, money, and resources.
  • Ensure procurement performance is in line with procurement objectives and with APSYS (Alstom Procurement SYStem) measures.
  • Monitor and improve the global efficiency of the procurement process and tools to support APSYS maturity in line with Procurement Continuous Improvement Manager.
  • Coordinate activities with each pillar of the procurement T&E, Transformation and Efficiency, team linking them to ensure highest level of procurement performance and maturity.

MAIN RESPONSABILITIES  

  • In a supportive role for procurement process optimization. The Business Process Specialist (BPS):
    • Has responsibility in the BPO accountability for procurement process deployment, maturity, and development in line with APSYS, (Alstom Performance SYStem). Is instrumental is establishing cross-functional collaboration.
    • Responsible with the BPO’s, Business Process Owner, accountability to access and identify what changes must be made and what needs to be done to drive them at every level, from operations up to senior management.
    • Responsible within the accountability of BPO to drive changes to process and enforce compliance and consistency with relentless and effective communication.
    • Responsible within the BPO accountability to ensure the Procurement community is informed, trained, and respects all process ad tools usage.
    • Responsible within the BPO accountability to follows procurement performance through routine performance dashboard reviews supporting procurement leadership team. Collection, analysis, preparation, and maintenance of supporting data.

 

  • Acting in a supporting role to the BPO accountability of coordination between all T&E efforts and the procurement community. The Business Process Specialist (BPS):
    • Monitoring deployment, adherence and performance in processes and tools
    • Linking all pillars; people, process, tools, and performance in coordinated effort of efficiency.
    • Follow performance data to identify areas of opportunity and prepare necessary communication and cascade.

 

  • The Procurement BPS is a supportive role in ensuring the procurement functions adherence with its processes. The Business Process Specialist (BPS):
    • Animates assessment, audits, and related follow ups and/or action plans:
    • APSYS (Alstom Performance SYStem)
    • ICQ (Internal Controls)
    • IRIS (International Railway Industry Standard)

 MAIN REQUIRED COMPETENCES

Educational Requirements

Mandatory:

  • 2-5 years relevant work experience demonstrating flawless execution - independent user, Tool Key User – medium exposure, Small/Medium size initiative coordination.
  • Consulted on process optimization and documentation, Main POC, Point Of Contact, as process/technical expert of complex topics/tools (Region/Domain).

Desirable:

  • Post-Secondary Degree in supply chain management, logistics, engineering, or business administration.

Experience

Mandatory:

  • In-depth knowledge of procurement: preparing and reviewing contracts, invoicing, and negotiation terms.
  • Multi-tasking and time-management skills, with the ability to prioritize tasks.
  • Experience using business management software and tools, including SAP, SAP Ariba, and/or Qlik Sense data analytics tool.
  • Excellent analytical and problem-solving skills 

Desirable:

  • Business process management.
  • SharePoint Development: Building and Managing Large Document Libraries

Competencies & Skills:

  • Fluent English with international mindset
  • Change Management: Focused on continuous improvement & efficiency
  • Communication: Capacity to transmit, coach and train others
  • Influential: sell changes to key stakeholders and communicate the importance at the operational level as well.
  • Business Acumen: Ability to understand why and how it will impact the business.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
  • Microsoft Azure/ Azure DevOps, Microsoft Power BI desired.
