Experience

Minimum of 15 years experience with Multinational Organisation. Project/ Manufacturing experience would be preferred.

 

Qualification

Minimum Graduate with specilisation/ academic exposure in Welfare/ Commerce

General Administration & Facilities Management 

 

  • Responsible for managing the daily facility related operations of assigned site(s).
  • Having experience of working within an outsourced facility Management environment or fully leveraged environment.
  • Transport, cafeteria, housekeeping and all general administration work activities in the location.
  • Implement actions required improving the overall quality results of each operation. 
  • Implement all policies and procedures and to make suggestions for improvements as and when required.
  • Responsible and accountable for Housekeeping, Gardening, Security services and other allied services
  • Accountable for Pest Control, Courier & Staff catering
  • Compliance to agreed service levels with vendors.
  • Monitor operational performance to stay within budget limits.
  • Control costs and make suggestions to optimize them. 
  • Providing continuous inputs to the operations team to upgrade existing services and improving the process efficiency. 
  • Monitoring the overall functioning of processes, identifying the improvement areas and implementing with adequate measures to maximize Employee satisfaction.
  • Preparing & Reviewing the MIS reports as per the SLA with a review to appraise management of the process operations and assist in critical decision-making process.
  • Carrying out site statutory Audits to ensure that the all the statutory compliances are maintained by the vendor for the staff employed. 
  • Preparing MIS reports on monthly, half-yearly, annually on regards all facility activities (i.e., technical- equipment list/status, load details, power utilized, materials consumption, PPM’s, incident soft service, mail room, pantry, shuttle service, mandate, etc.)

 

Asset Management & Technical Services 

 

  •  
  • Responsible to take care of all Assets management at Site
  • Maintaining and execute the facilities operational works (Power controls, HVAC systems, BMS operations, Fire control/Extinguishing systems Secure access controls) and implementations as per schedules by coordinating with facility team.
  • Maintain Asset management by Updating the equipment’s and building assets details in online portal and keep tracking the useful life cycle for upgrading or renewal the contracting as required.
  • Preparation of all service & AMC contracts and follow up
  • Do Coordination’s & Follow-up with contractor/vendor, activities regard the equipment’s and interior maintenance.
  • Have an interaction with building maintenance team for general compliance auditing and other general maintenance activities

 

 Finance & Vendor Management

 

  • Interact with accounts for processing the invoices and payments for accomplished jobs by the Service Providers & Vendors.
  • Accountable for the vendor management in respect with the equipment’s contract servicing and procuring materials for regular general operations.
  • Do Budget forecasting on annually for facility maintenance, costing in-line with equipment’s AMC and regular operational maintenance cost.
  • Ensure timely and correct payment to ensure Business Continuity.

 

 Travel Management

 

  • Transportation management coordination including policies, automation, & operations
  • Annual budget forecast and preparation in co-ordination with other departments.
  • Supervising the transport facility provided for employees and associates. Monitoring movement, maintenance and upkeep of vehicles Imparting training to staff & arranging respective training for the staff such as fire training for security as well all other staff.
  • Handling shifts, manpower management (Recruitment, Allocation) & overseeing VIP security / Events & Functions management.
  • GH Booking/Food arrangements/room allocation etc.
  • Hotel booking, Visa Support, Air ticket booking Coordination etc.
  • Arranging Airport transfers, Star Hotel bookings and other travel arrangements for Ex-Pats.
  • Responsible for Staff regular transport and Pool, Ambulance and extra cars

 

Government Liaison &Statutory Compliance Audit:

 

  • Liaising & Government - Liaison with various statutory authorities in complying with statutory requirements for the smooth functioning of the offices Clearance activities of STPI, Customs & Central exercise.
  • Liaising with Labour department, Telecom companies like BSNL, Police & other govt. agencies.
  • Comply strictly and all times with governmental and administrative requirements in relation to the activity of the Facility.
  • Hands on experience as Auditee
