We’re looking for a Project Administrator who is organised and proactive to provide efficient administrative and planning support to Project Managers and project team members, based in a CBD location. This role plays a key part in supporting the successful delivery of projects and business improvement initiatives across the organisation. You will act as a central point of coordination, ensuring project administration, documentation, and processes are managed accurately and efficiently in a fast‑paced project environment. You’ll work alongside people who show up with ownership, passion, and dedication — because they know what’s at stake: the journey home.

 

 

Your role, your impact

  • Providing day‑to‑day administrative and planning support to Project Managers.
  • Managing project correspondence, documentation, and reporting inputs.
  • Supporting project inductions, onboarding, and competency compliance for employees and subcontractors.
  • Coordinating invoicing, purchase requisitions (SAP), stock movements, and subcontractor timesheets.
  • Managing project office operations, including visitor reception, room bookings, and office supplies.
  • Acting as a key link between internal teams (HR, Finance, Project Teams) and external customers and suppliers.

 

 

You’ll work with sharp, committed teams across Altom — solving complex challenges that shape the future of mobility.

 

 

What you bring

You are a highly organised and proactive administrator with experience supporting projects in a fast‑paced environment. You take pride in accuracy, collaboration, and delivering results.

 

  • Several years’ experience in a project administration preferred or similar support role.
  • Strong administrative capability with excellent attention to detail.
  • Advanced IT skills (Word, Excel, PowerPoint).
  • Sound organisation, planning, and time‑management skills.
  • Strong interpersonal and communication skills, with the ability to support multiple stakeholders.
  • A customer‑focused, action‑oriented mindset.
  • The ability to use initiative, solve problems, and make objective decisions within scope.
  • Resilience and professionalism in a demanding work environment.

  • Projects supported and delivered to plan.
  • Accurate, timely documentation and reporting.
  • Smooth onboarding and compliance management.
  • Efficient SAP, invoicing, stock, and timesheet processing.
  • A professional, well‑run project office.
