Could you be the full-time Documentation Specialist in Madrid we’re looking for?

 

Your future role

Take on a new challenge and apply your documentation management expertise in a new cutting-edge field. You’ll and work alongside young and proactive teammates.

You'll define and implement Documentation Management within the Project/Program organization. Day-to-day, you’ll work closely with teams across the business (project management, supply management), ensure the whole project documentation availability and much more.

You’ll specifically take care of defining and monitoring documentation, but also executing Documentation Life Cycle and categorizing technical and management documents produced for the Project in accordance with Alstom Transport internal rules and project needs and Contract signed with the Customer relative to documentation management.

We’ll look to you for:

  • Ensure the Project Documentation Management plan is produced and validated.
  • Manage and implement the Project Documentation according to the rules defined in the Project Documentation Management Plan.
  • Confirm that rules are understood and respected by every Project Management team member.
  • Adapt and implement the Transport standard documentation structure to the Project.
  • Make sure internal validation of documents is done before submittal to Customer.
  • Manage the documentation delivery in due time to Customer,
  • Alert the Project Management team about next milestones related to documentation issues.
  • Follow Customer and stakeholders’ documentation status,
  • Create and update the Project document templates,
  • Deploy and manage the ALSTOM standard Project EDMS (Electronic Documentation Management System) with IT support,
  • Ensure the Project documentation recording in the EDMS,
  • Define and maintain project internal and external distribution list,
  • Apply the translation of the documentation,
  • Provide documentation reporting and indicators to Site Documentation Manager, Project Manager, Project Management team and Customer,
  • Define and manage documents storage during Project life and documents archiving at the end of the Project,
  • First level support to EDMS users,
  • Training new users, request account creation to EDMS administration team,
  • Perform REX and suggest improvements of the activity (process, organisation, EDMS).

  • Bachelor’s degree
  • Minimum 3 year of experience in documentation control.
  • Minimum 5 years of experience in documentation control if no bachelor’s degree.
  • Desirable: Knowledgeable of Signalling railway domain
  • Desirable: Knowledge of Lascom AEC, Aconex, Project Wise, Synergy…
  • Desirable: Engineering environment awareness
  • High level in English is a must
  • Good knowledge of Microsoft Office, excel and Power Point
  • Ability to communicate with all involved project actors
  • Rigor
  • Organized, attention to detail
  • Ability to propose some improvement in order to industrialize/automatize his activity through tool or new WoW.
