The purpose of this role is to coordinate and support the development of the contractual Service Submittals (Policies, Plans and Procedures) for the SCRRA project. The role will work closely with the mobilisation and project team leads to develop the Service Submittals in line with the programmed deadlines and ensure a high standard of quality in line with Alstom best practices. The position is responsible to implement and maintain a procedural framework for identifying, collecting, distributing and filing the controlled documents for the Operations and Maintenance organization.

 

Key Responsibilities:

  • Maintain close work relationships with the General  Manager, Assistant General Managers, Subject Matter experts from the Project Team, Client Management teams, and key stakeholders.
  • Review of CDRLs and SOP requirements within the Contract
  • Manage the documentation delivery in due time to Customer and ensure internal validation of documents is done before submittal to Customer - development of program for all documentation development, internal and external review
  • Development of compliance tracker for submissions to ensure compliance with contractual obligations working with the Manager, Business Administration and Contract Manager as well as project leads as needed.
  • Set the overall strategy, tools and tonality of the submittals to ensure consistency and high standard of quality across the full suite of documents
  • Development of style guide and templates for documentation submittals
  • Support workstream leads in identifying /assigning reviews and documentation content to subject matter experts (SMEs) for the preparation of submittals & follow-up with the team for timely reviews and submissions
  • Support workstream leads with drafting of Submittals, as required
  • Implement and direct documentation procedures in storing, updating, and distributing all engineering and commercial documents, including drawings, specification sheets, etc. working with the Project leads.
  • Alert the Project Management team about next milestones related to documentation issues.
  • Provide documentation reporting and indicators to Site Documentation Manager, Project Manager, Project Management team and Customer.
  • Define and manage documents storage during Project life and documents archiving at the end of the Project.
  • Perform REX and suggest improvements of the activity (process, organization, EDMS).

 

 

Role Requirements:

  • Strong Technical writing skills
  • Strong verbal and written communication skills, with the ability to communicate with peers and senior colleagues to build and maintain relationships
  • Ability to manage the development of multiple deliverables in line with program deadlines
  • Strong MS Word, Excel, Power-Point & Documentation Management tools & skills
  • Ability to use and/or develop MS Word templates
  • Knowledge of rail O&M technical delivery methodologies an asset
  • Detail orientated with a focus on quality control and consistency across a suite of documents
  • Focus on document management and control
  • Ability to review and extract contract requirements
  • Anility to format documents consistently
  • Ability to present and lead meetings / workshops as required.

 

Knowledge/Experience Required:

  • Post-secondary education in a relevant field and/or equivalent experience.
  • 5 years previous experience in technical writing
  • Minimum 2 years of experience in documentation management.
  • Experience in the development of rail O&M Service Submittals or equivalent project documentation experience.
  • Experience of rail O&M delivery best practices or equivalent industry related knowledge
  • Thorough understanding of HSQE management system principles and relevant regulatory knowledge
  • Demonstrated practical knowledge of working in complex, multi-disciplinary rail project environment
  • Familiar with safe systems of work and operational and technical standards governing signaling, power, communications, civil and related rail assets.
  • Demonstrate flexibility to work a variety of hours as business demands, to meet timelines for documentation submissions.

 

Pay Range:

 

$80,000.00 to $100,000.00 depending on candidate experience/qualifications.
