KEY RESPONSABILITIES:  

  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Tracking and reporting project progress and performance against baseline schedule. 
  • Identifying critical activities.  
  • Follow up of project hours, work package control (MS Project, Primavera);
  • Maintaining project documentation in PTD, SharePoint, G-drive;
  • Writing official letters (together with PM and legal) to partners and customers;
  • Gate reviews planning and performing;
  • Assisting claim/contract manager by providing and gathering information about project schedule, milestones, delivery dates and costs;
  • Assisting PM in allocation of work packages between the roles and the day-to-day delegation of special tasks to the Project Core Team members in order to optimize the total project performance;
  • Notifying PM in case of delays, customer problems, extra spending, margin slippage, etc.;
  • Review the effort of the Project Core Team members related to the project execution;
  • Manage phone calls and correspondence (e-mail, letters, packages etc.) related to the projects and office
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
  • Preparation of input data for budgets, forecasts, planning;
  • Coordination of Projects Execution;
  • Preparing necessary purchase requests and ensuring all subcontracts are in place;
  • Creating invoicing plan, initiating customer invoicing, follow up of invoice payment that often involves customer contact;
  • Project progress tracking that involves tight communication with subcontractors;
  • Follow up of project spending. Controlling all incoming invoices by matching them to relevant purchase orders or subcontracts;
  • Notifying program manager, MD in case of delays, customer problems, extra spending, margin slippage, etc. Providing PM with the information required for decision making.
  • Bid teams support & other tasks execution by request    

 

OUR IDEAL CANDIDATE MUST HAVE: 

  • High school diploma or equivalent required;
  • Excellent knowledge of MS Office and office management software
  • Outstanding communication and interpersonal abilities
  • Comfortable handling confidential information
  • Microsoft Office
  • Microsoft Project
  • LV / EN / RU languages
  • Reliability and the ability to work well under pressure
