Purpose

Performs administrative duties related to site daily activities. Providing administrative support to site management. Providing administrative Human Resources support to site management. Responsibilities may include, management of user database, Non-Product Related supplies,  managing events and calendars; making travel, meeting and event arrangements including cost claims; preparing basic reports and basic data analysis. Training  other support staff; and customer relations.

 

Primary Responsibilities

  • Administration support  for Time Management System (Kronos):
    • Ensure the proper implementation of the process and compliance to the standard process as defined by  the Business
    • Raise  any issues related to the process and suggested changes or opportunities of improvement in order to reduce risk and improve performance
    • Ensure the implementation of process at site/project level
    • Ensure roll out of proper training and communication through the process implementation, incl. respective documentation and records
    • Measure and monitor project  performance
  • Human Resources (HR) Administration
    • You will be a point of contact for all human resources enquiries and will be working closely with the broader HR team
    • HR administration including contract generation, on boarding, contract variations, providing statement of service and all off boarding activities
    • Managing and supporting recruitment activities for site management
    • Liaise with external recruitment agencies
    • Involvement in HR projects such as workforce planning, employee engagement, diversity and inclusion activities
    • Involvement with the graduate, internship and apprenticeship programs
  • Office administration
    • Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents
    • Sort incoming mail, faxes, and courier deliveries for distribution
    • Code and file material according to the established procedures
    • Update and ensure the accuracy of the organization's databases
    • Administration support for the purchase order process,  supporting the Operations and  Finance teams
    • Reply to general information requests with the accurate informationProvide support to Operations management team meeting
    • Prepare meeting agendas and supporting material for distribution.

 

Key Requirements:

  • Cert IV or Diploma in Administration / Human Resources
  • Previous experience as a HR administrator highly desirable
  • Previous experience working in a similar role
  • Reporting Skills, Administrative Writing Skills, Microsoft Office Skills, Managing Processes, Organization, Analyzing Information, Professionalism, Problem Solving, Supply Management, Inventory Control, Verbal Communication.
