Provide a professional administration service to the Crewe Business Unit, including the management of the site's visitors and customers.

Provide key admin support to the site's coordination of CSR activities across the POM team.

Provide administration of complementary workforce and support the data integrity of the Crewe business unit.

 

 

Main responsibilities include:

 

CSR


Organization of events with local schools i.e. school visits, work experience, volunteering projects, and STEM activities
Local community engagement with Heritage Centre, local council, food banks, Chamber of Commerce
MP’s visits/press visits to the site 
Organization of the annual Crewe Dinner
Organization of charity events e.g. Macmillan and Save the Children

 

Occupational Health


Support and cover occupational health appointments
Organization of mini health check appointments
Vaccination programs
Support HR in zero absence data
Support HR with random D & A process
Office Inductions

 

Briefs


Compilation of monthly Support Staff briefs.
Compilation and attendance at Workstream Briefs, Information and Consultation meetings, quarterly employee briefs and monthly Support Staff briefs.
Communication of all Safety Briefs, Site Briefs, Covid Briefs.

 

Apprentice Intake


Facilitation and support for annual Apprentice Assessment Centres, coordination, and support to the Training Team. 
Facilitation of onboarding for Apprentices
Training / Induction of IT systems and processes

 

IT


Maintain asset data
Utilization of SNOW for all IT-related requests for the site
Sharepoint Owner for Crewe site
Setting up of new user hardware
New user IT induction
AAT / Passport requests for database and server access
Daily general IT support and guidance
Support in the rollout of new processes and procedures
Advise and support new infrastructure changes, new hardware, new software
Project manage new telephone system implementation (ongoing)
Implementation of a new holiday database system (ongoing)
Implementation and management of electronic booking systems

 

HR


Support HR with disciplinary minutes
Support HR with admin tasks
Long Service Awards organization of events, certificates, publicity items, vouchers, etc
Supporting retirement process for leavers, purchasing of vouchers, creation of certificates, and organization of events

 

Administration


DSE questionnaire issuing / compilation and actioning to a standard for auditing purposes
Organization of onsite buffets for visitors, management of room allocation and hot desking facilities
Hosting customer visits/events and Alstom internal meetings ensuring all COVID/EHS guidelines are adhered to
Management of General Manager’s diary including associated PA responsibilities including travel, expenses, briefs, presentations etc
Budgetary management of stationery, travel, and office maintenance
Compilation of monthly reporting packs
Administration and owner of Crewe Sharepoint

 

People Management


Compilation of objectives
Performance management
Daily tasks and overseeing of responsibilities

 

Office Management


Integral in office and satellite office refurb projects as and when they arise
Ongoing management of office areas, ensuring EHS, maintenance, and allocation
Ensuring security systems are kept in place i.e. door access systems

 

IGS


Raising of requisitions
Tracking of Purchase Orders
Bought Ledger activities for processing of invoices
Support the raising of cover orders
