 Alstom is hiring a Learning & Certification Team Administrator to support the growing Bid, Project, Planning & Commercial Management Academy and Certification programs. In this role, you will oversee the learning & competencies development by administering all support activities for Purchase order creations for certification programs, event organization of all types including in-person final interview coordination for the certification programs and documentation support for team.

 

Purpose:

The role is key to enable our Bid and Project Management community with an organized academy offering high quality special events, quick and efficient responses to various solicitations and following up closely for PO creation and payment for our certification programs.  Events can be in India but also in digital remote formats or in other locations across the world.  

 

Main responsibilities:

Main point of contact reporting to the Bid, Project, Planning Management & Certification Director for the administration management of all academy activities.  Activities are varied and range from support regarding event coordination and organization in India (In-person) or worldwide (in remote digital mode/in-person international sites) to raising and following payment of purchase orders, supporting certification team with candidate follow-up in different certification steps scheduling/document review/liaising with other administrative supports worldwide while supporting the team with any documentation management need.

 

You will be responsible for:

  • Support Event coordination for promotional events/focus group organization as required for in-person visits or in digital/non-India site locations by liaising with local administrative support.  This includes communicating with all internal Alstom stakeholders but also any vendors involved in the event to ensure a smooth preparation and delivery.  Problem solve any unknown situation that may arise.   Welcome guests when required.
  • Create Purchase Orders for all invoices received from our certification supplier as services are rendered.  Liaise with certification team for validation of invoice amount, enter into Alstom system and follow-up until payment to supplier received
  • Support full team for communication distribution to community through updated distribution lists and standard e-mail sending
  • Work closely with certification team and group PMO assistant for all in-person interview at various Alstom sites throughout the world: exam room bookings, visa invitation letters when required/access maps/emergency contacts/badge preparation/lunch plans etc., candidate assistance and question answering
  • Support certification team and supplier with candidate documentation review to make sure that all is complete and submitted in a timely fashion
  • For yearly global certification ceremony ensure all guest speaker availability: regional presidents, COO, VPs etc. to coordinate best suitable date and preparation of VIPs.
  • Support certification team as needed with Trophy /certification printing and shipping worldwide (~200 per year).
  • Manage updates to monthly calendar of events and ensure academy team is prepared with submissions of presentations in due time
  • Ad Hoc support team with any special documentation, project or review (Video creations: shooting of video coordination-room booking as per availability of person to be filmed, script to be handed over to the right person ahead of time etc.)

Your profile:

  • Bachelor’s degree 
  • Proven experience as an administrator with international corporate companies
  • Strong communication oral and written skills
  • Strong experience in event management organization (remote or in-person)
  • Self-planning of activities and problem solving
  • Strong networking skills
  • Purchase order input and follow-up in SAP systems
