Responsibilities and Accountabilities

  • Helpdesk Agent or Tickets Handling
  • Ensure that all requests are routed through the ticketing tool
  • Employee Letters, Service requests & employees/HRM's tickets handling
  • Ensure to update/respond the employees & HRM's tickets as per SLA
  • Ensure to maintain a copy of the letters/proof docs in the personal file.
  • Employee Data Audit & Quality Check
  • Responsible for Employees data base updating and maintaining as per the Business Requirement.
  • Regular update on audit of Employee records, ensure to check the data quality in Global format.
  • Conducting Monthly meetings with Site HRMs and monitor data accuracy / update in HR System.
  • Flag Off potential data accuracy risks to HRMs in a proactive manner
  • Transfer & Deputation / Movements
  • Responsible for employees transfers and deputations, Obtain the forms as per template/HRMS for all Transfer & Deputation cases and issue letters within SLA.
  • Be abreast with the Transfer & Deputation policy and track the entitlements as per policy/adherence to the same
  • Ensure to update all correspondence changes in the HR system within SLA
  • Ensure that all correspondence is updated in the respective employee personal file
  • Contract Employees Payroll/Hired Staff Payroll
  • Welcome & Onboarding of Hired Staff, Monthly Attendance/Payroll check and validation, Salary processing on time.
  • Employee queries/grievances / helpdesk handling
  • Coordinating for Hired staff extension/Termination based on HRM confirmation
  • Coordinating for exit management & F&F settlement monitoring
  • Monthly invoice validation & payment tracking
  • Exit Management
  • Ensure to review the leavers data in Exit module & Highlight Potential process laps/delays to HRM's/Reporting Manager
  • Monitor the NOC status of all exit employees and ensure that all dues are cleared on before LWD
  • Exit Analysis and Monthly MIS – Data support to HR Mgr/HRBPs in the areas of analysis on specific population or aspects of their data
  • Ensure to issue the Relieving and Experience letter on last working day and update the personal file with all exits related documents
  • Contract Amendments/ Probation confirmation/FTC Extension
  • Ensure the launch of Probation Assessment forms as per defined process to respective RM/SLM/HRM etc.
  • Ensure that Confirmation/Extension letters are issued to HRM's on or before due date
  • Highlight / escalate the delayed cases and ensure they are completed on time
  • Monitor the Progression of FTCs of all the locations including Hired staff.
  • Ensure to send the trigger to respective RM/SLM & HRMs on due dates for Progression/Confirmation
  • Ensure that all correspondence is updated in the respective employee personal file
  • HR Audits & Vendor Management
  • Coordination with different vendors as per Business requirement.
  • Coordination with Other departments for related to employee data updation, reports preparation and other activities as required.
  • Ensure to provide the require data for audit in line with internal guidelines for both internal and external audits
  • Promote and strengthen employee relations by actively listening and appropriately responding to employee concerns in timely manner and by initiating pro-active and effective processes.
  • Various MIS, Dashboard & Reports preparation as per the requirement

Performance will be measured based on above KPIs

Educational Requirements

  • Master’s Degree in HR
  • Strong in Communication
  • Strong background and hands on work experience in HR Operations

Experience / Competences

  • 06-10 years of experience in HR Operations/HR Generalist profile.
  • Min 4 years of experience in HR tools handling
  • Systematic and process-oriented approach

Skills/HR Tool

  • Familiar with MS Office (Including PPT, Excel formulas, Macros)
  • Hands on experience with HR systems like SAP, Success Factor, Workday, Service Now
