Green Line EPC Site Admin
Purpose of the Job :
To provide administrative and general office management support to Green Line project.
According to the Project Quality, Cost and Deliveries (QCD) commitments
Mission & Responsibilities
-
Manage administration activities (invitations, support documents, room booking, hotels, flights, food orders, etc..)
-
Manage/record ‘annual leave’ for all staff in Tel Aviv
-
Manage all administrative tasks associated with the project: travels, agenda, visa, catering, event organization, etc.…
-
Follow up the site running costs expenses
-
Organise bi-monthly team bonding events. Be familiar with Purchase Orders software monitoring tools: R2R, SAP.

Put all admin documents on Sharepoint tool.
-
Be familiar with document management monitoring tools AEC, Sharepoint and Aconnex.

Update Shop-floor notice boards following each Shop-floor meeting

Receive external telephone calls and direct them to the required departments.

Administer in-house communications for TLV – distribution, collation of monthly reports, printing reports, noticeboards, etc...

Daily distribution and franking of post and update of telephone list
-
Maintain signing in system, issuing PPE to all visitors/depot inductions.

Maintain absence, sickness monitoring of the complete Tel Aviv team

Update organisational chart up to date as per headcount report
-
Control and issue staff duty cards (security passes) to staff travelling in the course of their duty
Desired Knowledge / Experience
Minimum 2-3 years’ experience working in similar role
Good Microsoft Office skills (word, excel, power-point)
Experience of working on own initiative as autonomy will be required

Candidate requirements :
-
Educational Requirements
Educated to University Degree level Engineering.
3 to 5 years in industrial manufacturing business
Fluent in English, Hebrew is a plus
