Could you be the full-time Project Administrator (until September 2024) in Brighton, United Kingdom we’re looking for?

Your future role

We’ll look to you for:

Primarily to provide a professional administration and coordination service to the GTR TSSSA project core team whilst supporting the Head of Fleet Support & Evolution UK with daily movements and travel, etc.

To attend and participate in core team, functional and customer team meetings to gather and record the information from working piers to enable clear visibility and management of actions. Management of the office and meeting room standards in regards to 5s.

Additionally to support other TSSSA projects as directed by the Head of Fleet Support.

 

General and Administrative

  • Maintain a professional demeanour that reflects commitment to quality, continuous improvement, diversity, and respect for individuals.
  • Comply with all quality and safety requirements.
  • Follow systems and procedures outlined by company / project manuals.
  • Ensure Company policies & procedures are followed.

 

 Operations

  • Support the timely delivery of key project tasks, by liaising with project stakeholders, coordinating internal employees to provide updates on related projects and tracking project tasks through to completion.
  • Support team and other meetings, records, updates action items. Expedites and statuses action items, document reviews, signatures and other critical tasks as required.
  • Serve as coordinator who is responsible for implementing, monitoring and facilitating process and implementation on assigned projects.
  • Coordinates and manages flow of all active and historical project files and databases (ROP, CAPD, Project Tracking database (PTD), Sharepoint database, PPRS, Annual Leave database etc), TSSSA correspondence and documentation.
  • Provide control within the project for the storage, management and distribution of key project documentation. Supports both internal and external project interfaces. Initiates, prepares and maintains related project databases.
  • Maintain the PCDA database
  • Provide daily support to the Head of Fleet Support & Evolution with regards to diary management, meetings, workshops, expenses and travel
  • Support the operational core team with Travel and day to day concerns
  • Arrange when required professional correspondence on behalf of the core team to Project Management and other stakeholders
  • Raise requisitions (review process Admin or NPR)
  • Travel & Hotels
  • New starter & deletion of accounts
  • AAT’s
  • Training courses / workshops
  • Prime etc
  • Manage Bombardier Brighton waste obligations
  • Maintain and coordinate all training and competency requirements for GTR TSSSA Project.
  • Maintain and coordinate the HSE Plan for GTR TSSSA Project.
  • Maintain and coordinate the QHSE database and associated actions.
  • Maintain and coordinate all occupational health issues and support the return to work process
  • The operations as stated above and other requirements may apply to additional TSSSA projects; as prioritised and agreed between the Head of Fleet Support and the GTR TSSSA Project Operations Manager.

 

Financial Control

  • Support all necessary actions to manage cost and improve profitability.

  • Be a self-starter, able to prioritize and manage own time and activities and to relate well to people at all levels. 
  • Be a positive, motivating example for other employees
  • Create an environment oriented to trust, open communication, creative thinking, and cohesive team effort.

 

Equipment and Supplies

  • Maintain a safe work environment and ensure the maintenance and upkeep of the physical location. Ensure work place left in a suitable condition for other staff.

  • GCSE’s grades 9-4, or equivalent qualifications including English, maths
  • Some experience as team administrator
  • IT skills – competent user of Microsoft Office including Word, Excel, Powerpoint, Outlook, Teams, SharePoint
  • Company’s intranet & travel bookings
  • Company’s Purchase Order process
  • Good knowledge of Alstom & other functional areas within the organization
  • Basic knowledge of domestic market
  • Hybrid work environment  (1 day working -from-home)
